What companies expect from a transport logistics system today

Just a few years ago, the main requirement for a transport logistics system might have been a better overview of vehicle arrivals and departures. Today, companies are addressing a much broader issue.


Transportation is interconnected with warehousing, shipping, planning, and external carriers. It involves a vast amount of data, documents, and people who need the right information at the right time. And the more complex the operation, the less room there is for manual data entry, phone calls, and decision-making based on outdated information.


This is one reason why the role of the transport logistics system (TLS) is changing. It is no longer enough for it to simply track shipments. It must help manage the day-to-day realities of transportation.


One system, different people, and different languages

A good example is support for 16 language versions.


At first glance, this seems like a relatively minor feature. In international transportation, however, drivers, carriers, and staff at the gatehouse, warehouse, and shipping department—all from different countries—work within a single process.


If a system is meant to simplify the process, it must also be easy to use for someone who interacts with it only upon arrival at a foreign facility.


It is precisely these requirements that show that the development of TLS is not merely a matter of adding new features. It is a response to what causes delays or unnecessary work in real-world operations.

Data should not be transferred manually between systems

Another requirement is the integration of transportation with the company’s other systems.


If data from an ERP, WMS, or other source must be manually re-entered into the transportation management system, this creates an additional step during which the information may be delayed or altered.


System integration and automatic data import are therefore not just a matter of convenience. They enable you to work with the same information across transportation, warehousing, and shipping without duplicate data entry.


Digitization doesn’t stop at transportation planning

We see a similar shift with documents.


Digitizing CMR forms or inspection records makes it possible to link documentation directly to a specific shipment. For example, if a problem arises during delivery, it’s possible to record the issue, add photographic evidence, and create a basis for further resolution.


This way, the information isn’t confined to a single employee’s phone or a separate email. It becomes part of the shipment record.


The system is taking on more and more work

In logistics, most time isn’t lost due to a single major mistake. It’s lost in the multitude of small tasks that people repeat every day.


Monitoring shipments. Updating status. Closing out completed shipments. Notifying the next person. Transcribing data. Checking the schedule.


That is precisely why TLS is moving toward greater automation. Weekly shipment planning, automatic closure of completed shipments, and enhanced notifications all share a common goal—to reduce the number of situations in which a person must perform a routine step just to keep the process moving.


Transportation logistics system. What do companies actually expect from it?

Not necessarily more features.


They expect fewer manual steps, less data entry, better data integration, and a clearer overview of what’s currently happening with their shipments.


For one company, the biggest challenge might be scheduling time slots. For another, it might be registering foreign drivers, handling documents, or integrating transportation with the warehouse.


And that’s precisely why the requirements for a transportation logistics system cannot be separated from real-world operations.


Further development of a TLS often doesn’t begin with the statement:

“We need new functionality.”

It begins with a much simpler question:

“Couldn’t this be done more easily?”

And it is precisely the answer to this question that often reveals where manual work still lurks in logistics—work that the system is already capable of taking over.
